1. Scope
This policy explains how COHIVO collects, uses, shares, stores and protects personal information through this website and the founding-pilot waitlist.
It does not yet cover a production COHIVO application or data collected by a club inside a future pilot. Those practices will be documented separately before any production pilot begins.
2. Information we collect
Information you provide
- club or gym name;
- your name and work email;
- city, group type and approximate active-member count;
- your first-challenge idea; and
- your consent to receive founding-pilot communications.
Technical information
Our hosting provider may automatically process standard server-log information such as IP address, browser type, device type, referring page and request timestamps to deliver and secure the site.
3. How we use information
- to confirm and manage your waitlist request;
- to understand your club and assess whether it is a fit for the founding pilot;
- to contact you about pilot timing, onboarding and related updates;
- to operate, protect and improve the website; and
- to meet legal, security and recordkeeping obligations.
We do not use this form to create advertising profiles, and we do not sell personal information.
4. Consent and email choices
Submitting the form and selecting the consent checkbox tells us that you want to receive email about the COHIVO founding pilot. You may withdraw that consent at any time by using an unsubscribe link in a message or by contacting us.
Withdrawing consent does not affect processing that already occurred lawfully.
5. When we share information
We may share information only as reasonably necessary with:
- service providers that host the website, process form submissions, provide email or security services, or support our operations;
- professional advisers under confidentiality obligations;
- authorities or other parties when required by law or necessary to protect rights, safety and security; or
- a buyer or successor in connection with a financing, reorganization, merger or sale, subject to appropriate safeguards.
Netlify currently hosts the site and processes the founding-pilot form on our behalf.
6. International processing
Service providers may process information outside your province, territory or country. When information is processed in another jurisdiction, it may be subject to that jurisdiction’s laws. We use contractual and operational safeguards appropriate to the service and information involved.
7. Retention
We keep waitlist information only for as long as needed to manage the pilot, communicate with you, evaluate demand, meet legal obligations and resolve disputes. We will delete or de-identify information when it is no longer reasonably required, subject to limited backup and legal-retention periods.
8. Security
We use reasonable administrative, technical and organizational measures designed to protect personal information. No online service can guarantee absolute security, so please do not submit confidential health information, payment information or sensitive member data through the waitlist form.
9. Your choices and rights
Depending on where you live, you may have rights to request access to, correction of or deletion of personal information, to withdraw consent, or to ask questions about our practices. We may need to verify your identity before completing a request.

10. Children
This website and founding-pilot form are intended for adult organizers, owners, coaches and club leaders. They are not directed to children under 18, and we do not knowingly collect personal information from children through this form.
11. Changes and contact
We may update this policy as the pilot and product evolve. The date at the top shows the latest version. Material changes will be highlighted on the site or communicated when appropriate.
